While drafting or sending an email, it is very important to avoid a few things. Let us now check the things that we should not use.
Do not reply to an email when you are not in a good mood. If you draft an email when you are angry, then it will reflect in the tone of your message. You may then have to regret in future.
If you need to add just a single line in an email, then do not copy the entire long message.
Do not capitalise words as it seems that you are shouting. This is very rude.
Use of excessive punctuation, such as an exclamation mark, conveys over emphasis. Therefore, use them in limit.
Irrelevant messages should not be sent, especially to mailing lists or newsgroups. Do not even send messages to multiple people. This is called spamming and can cause trouble with your ISP.
Do not send emails with large attachments without taking prior consent from the recipient. It is better to compress large files.
Do not circulate chain mails as they have no purpose and waste a lot of time.
Criticising people for their spelling and grammatical errors is petty and should not be done.
Do not get into an argument over an email.
Never send a rude or an abusive email. This will make the other person angry.
Refrain from making personal remarks about a third party.
Remember that it is easy to offend someone through a carelessly or casually written email. Therefore, be very careful.
